Choose the shortest reliable route

First check where the draft lives. OpenAI says ChatGPT writing blocks can contain headings, links, lists and checklists. If the document is in Canvas, ChatGPT can export a Word .docx directly; use that route when you want the whole Canvas document and its current export is sufficient.

For an ordinary chat response, a selected section, or a consistent cleanup pass before Word, copy the answer into Pasteful. The goal is not to imitate the ChatGPT page. It is to turn the response's structure into an editable document.

Review the structure before copying

Paste the complete response and inspect the Word preview. Check that section titles are headings, numbered steps are still ordered, links retain both useful labels and destinations, code is separated from prose, and data tables have the right rows and headers.

Fix the source structure here rather than repairing fonts one paragraph at a time in Word. If the response only looks like a heading because it is bold, assign the intended level. If a table is being used for layout rather than data, turn it into paragraphs or a list.

  • Separate code from surrounding explanation
  • Use tables for data, with clear column headers

Choose rich copy or DOCX

Use rich copy when a Word document is already open and the answer is one section of it. In Pasteful, choose Copy rich text, paste at the intended insertion point, then use Word's paste menu if the result needs to adopt the surrounding document style.

Use DOCX download when the answer should become a standalone file, when you want document styles from the start, or when you need an attachment. Open the file and review it before sharing; a generated package can preserve structure without deciding whether the wording, citations or layout are correct.

Use Word's paste options deliberately

Microsoft documents three main choices for text copied from another program. Keep Source Formatting carries the source formatting into Word. Merge Formatting discards most direct formatting while retaining emphasis such as bold and italic. Keep Text Only removes formatting and non-text elements; Microsoft notes that tables become paragraphs.

Start with Pasteful's rich copy. If the document has a house style, try Merge Formatting and recheck the hierarchy. Use Keep Text Only only when you intentionally want to discard structure and rebuild it in Word.

Run a document check, not just a visual check

Open Word's Navigation Pane and confirm that real headings appear in order. Microsoft recommends built-in heading styles because they make document structure navigable for screen-reader users. Click each link, continue a list with Enter, and inspect table headers and reading order.

Treat equations, footnotes, citations, images, nested tables and complex code layouts as manual-review items. Neither clipboard conversion nor DOCX export can verify a factual citation or supply missing alternative text. Compare those elements with the ChatGPT source before the document leaves your hands.
