The source styling is the problem

An AI answer, browser page or document can place HTML and plain text on the clipboard at the same time. A normal email paste may preserve useful structure, but it can also preserve source fonts, colours, backgrounds and paragraph spacing. A plain paste removes the unwanted styling and the useful structure together.

The useful middle ground is minimal semantic HTML: paragraphs, emphasis, lists and safe links, with no source classes, font rules, colours or layout CSS. A readable plain-text version should travel beside it on the clipboard.

Gmail rich text and plain-text mode are different destinations

Gmail documents rich formatting controls and a separate plain-text mode. If a draft is in plain-text mode, no clipboard tool can make bold text or labelled links survive as rich formatting. Use the plain copy and keep full URLs visible.

For a normal rich-text draft, use the formatted copy. Check one list and one link before sending, especially when the message was copied through another editor first.

Outlook has its own paste policy

Microsoft documents Keep Source Formatting, Merge Formatting and Keep Text Only. Those options decide whether Outlook retains source presentation, adopts the destination style or discards formatting. The exact behaviour can vary between classic Outlook, new Outlook, web and Mac clients.

Start with clean rich copy. If a corporate template still overrides the appearance, Merge Formatting can adopt the destination style without throwing away every semantic element. Send a test to yourself when mobile rendering matters.

What Pasteful deliberately leaves alone

Pasteful formats the message body. It does not choose recipients, create a subject, attach files, add a signature, insert tracking pixels or send the email. It also does not remove quoted history or confidentiality footers unless a future email-thread cleanup makes that choice explicit and reviewable.

This boundary keeps the common workflow simple and local while avoiding silent edits to meaningful email content.
